How to reduce no-shows in appointments

Before thinking about penalties, look at the most common causes of a no-show: forgetting, something unexpected and no easy way to say you can't make it. The practices below address each of them and work with or without software. At the end of each one, we show how it works on Horanza.

Why clients miss appointments

Almost every no-show falls into one of three groups: the client forgot, had something come up and didn't say so, or booked so far ahead that the appointment lost priority.

Each group needs a different answer. Reminders solve forgetting, easy cancelling turns a no-show into a freed slot, and lead-time rules avoid bookings that are unlikely to happen.

1. Confirm the booking right away

A confirmation right after booking makes the day, time, service and address clear. It also becomes the reference the client looks for when in doubt.

2. Remind at two moments

A reminder the day before gives the client time to plan or reschedule. Another one, a few hours before, catches those who forgot on the day itself.

3. Make cancelling and rescheduling easy

If letting you know is a hassle, the client simply doesn't show up. A simple way to cancel or change the time turns a no-show into a slot that can still be filled.

Set how late this can be done on their own, so last-minute cancellations don't leave gaps that are impossible to fill.

4. Have someone ready to take the slot

Even with reminders, some cancellations will happen. The difference is how long the slot stays empty.

A list of people who want to be squeezed in lets you offer the slot as soon as it opens, without relying on someone remembering who asked.

On Horanza: The client joins the waitlist from the profile, with service, professional, days and time range. When a matching slot opens, the first in line get a link valid for up to 2 hours, and whoever confirms first gets the slot.

5. Adjust lead time and limits

Bookings made far in advance tend to lose priority in the client's routine, and one client holding several slots blocks the schedule for others.

Limit how many days ahead clients can book and how many bookings each client can hold at once.

On Horanza: You set the booking window in days and how many active and same-day bookings each client can have (by default, 2 active and 1 per day). Bookings the team makes in the panel don't count.

6. Make the policy clear

Write in a few lines how late the client can cancel and what happens after a no-show. Put the text where the client reads it before booking.

7. Agree on a fixed time with regulars

For those who come every week or every two weeks, a fixed time removes the need to rebook each visit and lowers the chance of the next appointment being put off.

8. Record no-shows and track their value

Without a record, no-shows are just an impression. Marking who didn't show up lets you see whether the problem is growing and how much it costs.
